What is Brussels Booking Desk?

The Brussels Booking Desk is the non-profit housing service linked to Visit Brussels - Brussels Convention Bureau, created by the majority of the Brussels' hotels united in the Brussels Hotels Association (BHA), supported by Brussels Enterprises Commerce and Industry (BECI).

It is a free service. No fees dues.

What is included in the room rate ?

The displayed ‘room rate’ or ‘price per stay’ are including the bedroom rental, VAT (6%) and service.

Is there a local city tax to be paid ?

Each hotel applies a city tax. For most hotels in the Capital Region of Brussels the city tax is at  €4.24 per room per night.

What kind of room can I book : single, double, twin room ?

You have the possibility to select a single occupied or a double occupied room. 

A single room contains at least one single bed, mostly a large bed wide enough for a large adult. 

A double room contains one double bed. Occasionally it can contain two single beds made up as one double bed. Suitable for one or two people. 

A twin room contains two single beds in the same room. Suitable for two people. 

You need a triple room ?

Only a few hotels offer suitable triple rooms for adults. If required we prefer you to contact our customer service (see need assistance) or to add , upon reservation, a ‘special request’ .

Possible supplement applies.

Set-up varies. Possible set-ups are : three single beds, one of which may be a pull down or roll away bed, or one double and one single bed in the same room. Suitable for three people. 

The -pictogram states the maximum occupancy accepted by the hotel, for the selected rate.

You prefer to have a smoking room ?

Nowadays most hotels committed themselves to create a smoke-free environment for their guests. Accordingly we overall propose non-smoking rooms only. If you want to have a smoking room please add a ‘special request’ to your room reservation. If ‘smoking rooms’ are available, the hotel will do their utmost to respect your requirements.

As disabilities varies and related needs are variable, we suggest you to contact our customer service (see need assistance) in order to provide you with the best available solution meeting your unique requirements.

Why do I need to provide my credit card details upon reservation ?

All hotels require a valid credit card upon reservation in order to secure your hotel room reservation. The hotel may check (pre-authorization) the provided credit card details to ensure it is valid or/and if sufficient funds are available. 

Credit cards accepted are : VISA, EuroCard/MasterCard and American Express.

What is a credit card pre-authorization ?

Upon reservation, the hotel may check if the provided credit card has not been reported loss or stolen, or check if sufficient funds are available. Technically spoken, the hotels and credit card institutions refer to this as “pre-authorization” . The amount checked (pre-authorized) can vary from the amount equal to the value of the first night or to the value of the full stay.
However the payment will not be processed, at that time. 

Depending on the ‘payment policy’ related to the selected hotel and room rate conditions, the hotel may charge you upon room reservation. The ‘payment policy’ can be found throughout the room reservation process.

Is it safe to provide my credit card details ?

The Brussels Booking Desk (asbl/vzw) integrated a secure connection - visual within your browser https:// - to encrypt your personal data and credit card details.

Our secure server uses ‘Secure Socket Layer’ (SSL) technology, the online industry’s standard.

Is there a possibility to make a room reservation without a credit card ?

Only very few hotels offer the possibility to book without a credit card. In most cases a full prepayment is required. Please contact our customer service (see need assistance), the latest 2 weeks prior to arrival, who will guide you through the process..

When do I pay for my booked accommodation ?

Depending on the ‘payment policy’ stated within your room reservation the payment of your stay is processed before arrival, during your stay or upon departure.

For a “non-refundable room reservation” you will be charged when making your reservation – for more details see ‘payment policy’. For all others a credit card guarantee is needed and you will be charged at the hotel, by the hotel.

Payment policy can be found within your room reservation confirmation and can be consulted throughout the room reservation process.

Will I get a confirmation of my room reservation ?

Moments after you confirmed your room reservation, the confirmation page appears, including all your reservation details, as well as a unique room reservation reference.

The confirmation will also be emailed to you, only minutes after you finish your room reservation.

If you did not receive any email confirmation, after having checked your spam folder, please contact our customer service (see need assistance) so we could reedit your confirmation.

I would need to cancel my room reservation ?

Within your confirmation you can find a link to ‘cancel’ your room reservation. By pushing on it, your room reservation will be cancelled.

Before cancelling your room reservation, it is recommendable to check the hotel’s cancellation policy. Depending on the time of your cancellation and/or the possible restrictions mentioned in the ‘cancellation policy’ (such as “non-refundable”), cancellation fees may apply.

Cancellation policy can be found within your room reservation confirmation and can be consulted throughout the room reservation process.

Can I modify my room reservation ?

By contacting our customer service (see need assistance) you will be able to modify your room reservation. If possible your booking will be modified according to the availability and applicable cancellation policy.

Group reservation (as of 9 rooms)

If you require any more than 8 rooms, we would be pleased to provide you a tailor-made list of solutions.

What time can I arrive at the hotel ?

The “hotel” official arrival time (check-in) is 3PM (local time), the day of arrival. In the event of an early arrival (before the official check-in time), is recommended to pre-book, the latest 72 hours prior to arrival, the night before the actual stay to guarantee an available room upon arrival.

Possible unexpected early arrivals will be provided a room upon availability, although an immediate availability cannot be guaranteed.

When do I need to leave my room ?

The hotel rooms have to be vacant again by noon (local time), the day of departure. In the event of a late liberated room the hotel can apply charges up to one additional night.

Where can I find the location of the hotel ?

The full address can be found below the first lines of the hotel’s description by clicking on ‘more info’, or by clicking on the map, the location of the selected hotel(s) will be shown on an interactive map.

The full address and directions will be provided within your email confirmation.

Will I receive the hotel’s telephone number and email address ?

Upon confirmation, you will receive a detailed confirmation including the full contact details of the hotel : address, telephone number(s) and email address(es).

I could not make it to the hotel, what happens (no-show) ?

In case you are not showing up at the date booked, “no-show”, you will be charged for the first night only or the entire stay booked, depending on the ‘cancellation policy’. Rooms are held until 10AM the day following the original arrival date. Afterwards the room will be offered as freely available, without prior notice.

I need to leave earlier than expected ?

In case of an early departure, the remaining night(s) may be charged by the hotel to you.
